Technology Consulting & Software

Help choosing your community's software. Help launching it. Or both — whichever fits.
Software Selection and Software Launch are two distinct services. Some boards engage us for one. Some for the other. Some for both. We're flexible because the right help depends on where your community actually is and what your team has the bandwidth to handle internally.
Software work touches three groups. We respect what each one brings to the table.
Most consulting firms talk about "the customer" as if there's only one. In community association software work, there are three and they each see the engagement differently. We've built our practice around respecting that.
Software Companies
For Software Vendors
You build complex products that solve real problems. You know your platform inside and out. Where things get hard is the implementation and this is the part of the customer journey that requires industry-specific knowledge of community association operations, not just product knowledge.
We're an extension of your customer success function, not a competitor to it. We don't build software, don't take referral fees from your team, and don't position your product against alternatives once a customer has chosen you. Our job is making your platform actually deliver on what your customers bought which improves your retention numbers and reduces your support load.
Board of Directors
For Boards
You're volunteers running a community while holding down full-time work and personal lives. Software decisions are high-stakes. The wrong choice and your community lives with the consequences for years but they're also rarely the most urgent thing on your agenda. That's a hard combination.
We bring focused expertise to the parts of this work that benefit from it: vetting platforms objectively, running a clean implementation, training owners well. We don't replace your judgment, and we don't pretend to know your community better than you do. We just take the operational heavy lifting off your plate so you can focus on the strategic decisions that genuinely require your board's attention
Managers & Management Companies
For Managers & Management
You're already running operations every day. You know your community, your owners, your vendors, your software's quirks better than anyone we'd partner with. The last thing you need is a consulting firm that arrives, ignores your expertise, and tries to teach you your job.
Our default is to integrate with your work, not replace it. Many managers and management companies handle parts of selection or launch themselves and that's often the right call. We come in for the pieces where outside hands genuinely add value: vendor negotiation, board-facing presentations, importing old data from exisiting system to the new one, owner training at scale, and written documentation. The work that's easier when someone outside of the day-to-day is doing it.

Software Selection.
Most boards evaluating community association management software start with a vendor demo. The demo goes well — the product looks good, the salesperson is knowledgeable, the contract is reasonable — and the board signs. Three months later, they realize the platform that demoed beautifully doesn't quite fit their actual workflows, doesn't integrate with their accounting tool the way they assumed it would, or costs significantly more in practice than the quoted price.
We help boards avoid that experience. Our Software Selection service brings independent, board-side expertise to the platform evaluation: we know what questions to ask vendors, what red flags to watch for in contracts, what implementation actually involves, and how different platforms handle the operational realities of HOA and condo communities.
We don't take commissions or referral fees from any software vendor. Our recommendations are based on what fits your community — not which vendor pays us best. That independence is the whole point of bringing in outside help for this decision.
Which Software Selection tier is right?

After selection, what's next?
Once you've chosen a platform, you'll need to get it actually working for your community. That's where our Software Launch services come into play. Some boards continue with us for that. Others handle implementation in-house with their manager or a committee. Both paths work! See the Software Launch section below for what we do when boards engage us for that piece.
Software Launch.
Software vendors do excellent work setting up the platform's skeleton: the account, basic configuration, user permissions, technical integrations. Then they hand the keys over and the real implementation work begins: transferring the information from an existing system, building out your document library, configuring work order templates, setting up compliance workflows, moving over open work orders, training your owners on how to log in and use the system. That's the part where most platform rollouts stall.
We pick up where the vendor leaves off. We take an installed-but-empty platform and turn it into something your community actually uses every day. Our flat-fee tiers are sized by community size, not project complexity. The work is fundamentally the same whether you're a 25-unit condo or a 100-unit HOA. The hours just scale.
Boards engage us for Launch in three different ways. Some hire us alongside their Software Selection (continuous engagement, one trusted firm through the whole process). Some hire us after running their own selection ("We picked, now we need help launching it"). And some hire us mid-implementation, after their internal team or committee got partway through and got stuck. Whichever situation you're in, the work and pricing are the same. We just start at the right point.
What's included in every Software Launch engagement:
-
Document library setup and folder structure with proper permissions
-
Work order and maintenance request configuration, plus maintenance staff training
-
Compliance letter templates and violation workflow setup
-
Budget and chart of accounts input (in coordination with your CPA or bookkeeper)
-
Manager and board training session on platform navigation, admin functions, and reporting
-
Owner onboarding: session at a board meeting plus virtual webinar(s)
-
Written project closeout summary documenting what was configured, decisions made, and next steps
Which Software Launch tier is right?

Engaging Us For Both Selection and Launch
Some boards engage us across both services. We run the platform selection, then immediately move into implementation as a continuous engagement. This works well when the board wants minimal handoffs, a single firm accountable from the first vendor demo through the owner training webinar. Practically, this means the Selection engagement closes with a written recommendation, the board signs the software contract, and the Launch engagement kicks off with us already deeply familiar with your community's specific needs. The Launch tier pricing is the same as a stand-alone engagement. We don't charge a premium for combining services. Equally common: boards engage us only for Selection, then handle Launch with their existing manager or committee. That's a totally valid path and we genuinely mean it. Internal teams that take ownership of implementation often get better adoption than outside consultants would, because they're the ones who'll be living with the system afterward. We're happy to be the firm you bring in for the parts where outside expertise adds the most value, and step back for the parts your team is ready to handle.
Why CAM In Demand for Tech & Software Work?
Three reasons boards bring us in for software work.
INDEPENDENT
Genuinely Independent
We work closely with major software providers in the industry but we don't accept commissions or referral fees from any of them. When we recommend a platform, you're getting our honest read on what fits your community. Most consulting firms in this space have at least one financial relationship with a vendor; we've structured ours specifically to avoid them.
ASSOCIATION SPECIALISTS
Built for HOAs and Condos
Our co-founders are Licensed Community Association Managers with two decades of combined experience working exclusively with HOAs, condominium associations and property management. We know how community operations actually run, how owners interact with portals, what compliance workflows have to support and how budgets flow through software. That domain knowledge is what makes the difference between a generic IT implementation and a community-association implementation that actually fits.
FLEXIBLE
Flexible to Your Reality
Selection and Launch are separate services for a reason. Some boards have committee members or managers ready to handle parts of this work themselves. We genuinely believe that's often the right choice. We're flexible because the right help depends on what your community actually needs, not on what generates the largest engagement for us. The Diagnostic-to-Custom pricing structure exists so you can hire us for exactly the scope that fits.
Not sure which engagement fits?
Let's figure it out together.
Book a free 15-minute discovery call or send us an email. We'll talk through where your community is now — whether you're starting a software search, partway through implementation, or somewhere in between — and recommend the right tier. Even if that recommendation is the smallest one, or that you don't need our help at all. The goal of the call is figuring out what genuinely fits, not selling you something larger than you need.
